Overview
The Sales Order Grid is your central workspace for monitoring, filtering, and acting on sales orders across all statuses. Use it to bulk-select orders, create picklists, export data, update tags, and manage fulfillment — all from a single, customizable view.
Step-by-Step Guide
Step 1: Access the Sales Order Grid
- Navigate to Operations > Sales Order Grid.
- View all orders — pending, shipped, or other statuses — displayed in the grid. Note that closed orders are hidden by default. To include closed orders in the current view, add the Closed At column filter and enable Include Closed Orders.
Step 2: Filtering and Saving Views
- Apply Filters:
- Apply Filters: Enter all desired filter values first — by order status, channel, tags, company name, or any other column. Once all filters are set, click the Apply Filters button to load results. The grid will not reload on each individual change, so you can make multiple selections before triggering the search.
- Filter by Company Name: The Company Name / Shipping Company field is available as a direct filter column in the grid. Use it to quickly scope orders to a specific customer without navigating through the CRM.
- Examples of filters:
- Show all shipped orders from a specific channel.
- Show pending orders including those that have been closed — add the Closed At column filter and toggle on Include Closed Orders.
- Using the Pending Tab: The Pending status tab at the top of the grid filters the view to orders that have been received into Luminous but have not yet shipped. If the Pending tab appears to be showing incorrect or unexpected orders, clear all active column filters and refresh — additional filters left active from a prior session can conflict with the tab's built-in status filter.
- Save Filters:
- After setting up filters, save the view by giving it a name.
- You can revisit this saved view anytime for quick access.
Step 3: Grouping Orders
- Click the Actions button in the top right.
- Group orders by characteristics such as channel name or item name.
- This organizes the grid into grouped sections for easier navigation.
Step 4: Performing Bulk Actions
- Select multiple orders using the checkboxes or Shift + Click to select a range.
Open the Actions menu to perform bulk tasks, including:
- Create Picklists: Generate picklists for selected orders.
- Update Tags: Apply or edit tags for multiple orders.
- Update Order Status: Mark orders as shipped or update other statuses.
- Export Packing Slip(s): Download packing slips for selected orders.
- Get Order Updates: Trigger a manual update for selected orders.
- Unallocate Orders: Remove inventory allocation from selected orders.
- Delete: Permanently removes the order from the system. Use this for orders with no line items or orders created by mistake. This action cannot be undone.
- Update Order Status: Use this to change an order's status to Cancelled if you want to retain a record of the order while stopping fulfillment.
- Select Orders — Including Across Multiple Pages
This is the most important step to understand for bulk exports and actions that span more than one page of results.
-
Check the checkbox in the header row to select all orders on the current page.
-
After selecting the page, a prompt appears in the center of the grid:
"X orders selected. Select remaining Y orders in ."
-
Click that link to extend your selection to all orders matching your current filters — across all pages.
-
Once the full cross-page selection is confirmed, proceed with your bulk action (export, tag update, etc.).
⚠ Important: If you check the header checkbox but do not click the "Select remaining Y orders" link, only the orders on the current visible page will be included in your export or bulk action — even if the count appears higher. Always confirm the extended selection before exporting.
Step 5: Customizing the Grid View
- Adjust Columns:
- Add, remove, or rearrange columns based on your preferences.
- Drag and drop columns to rearrange them for optimal visibility.
- Sort Orders:
- Click on a column header to sort orders by ascending or descending values.
- Example: Sort by order age to see the oldest or newest orders first.
Step 6: Sidebar Actions
- Open the Sidebar for quick actions like:
- Previewing picklists.
- Exporting packing slips.
- Updating tags for selected orders.
- Hide or display the sidebar as needed.
Step 7: Managing Individual Orders
- Click the Three Dots next to an order to access specific actions, such as:
- Push Fulfillment: Send the order to an OMS or WMS.
- Update Tags: Modify tags associated with the order.
- Hold Order: Place the order on hold.
- Double-click any field in an order row to:
- Add notes.
- Edit tags.
- Update order details.
Step 8: Exporting Data
- Right-click anywhere in the grid.
- Select an export option:
- Export to Excel.
- Export to CSV.
Pending Qty in Exports: The exported file includes a Pending Qty column that reflects the quantity committed to open, unfulfilled orders per SKU at the time of export. If this column is blank for a given SKU, it means no pending allocation currently exists for that item — this is expected behavior, not a missing data issue.
Step 9: Bulk Selection Shortcuts
- Use Shift + Click to select multiple orders for bulk actions like creating picklists or exporting packing slips.
Step 10: Key Benefits of the Sales Order Grid
- Bird’s Eye View: Monitor the status of all orders at a glance.
- Customizable Views: Tailor the grid to suit your team’s workflow.
- Streamlined Fulfillment: Manage orders, create picklists, and export packing slips efficiently.
- Pending & On-Order Visibility: Use the Pending tab and export to track unfulfilled order quantities at a glance. For a full picture that also includes on-order and committed quantities, cross-reference with the Stocks Grid under Inventory.
By mastering the Sales Order Grid, you can optimize your order management process and ensure smooth fulfillment operations.
Q: I selected all orders and exported, but only the first page of orders is in the file. Why?
The header checkbox selects only the orders visible on the current page. After checking it, a prompt appears in the center of the grid: "X orders selected. Select remaining Y orders in ." You must click that link to extend the selection across all pages before exporting. If you skip this step, only the current page is included.
Q: The grid shows a count on the Pending tab but no orders are displayed.
This is a loading issue, not a filter problem. Clear all active filters and refresh the page. If the grid remains blank, contact Luminous Support with a screenshot, your browser console output (F12 > Console), and the Network tab response.
Q: The Pending tab counter is showing 0.
This is expected when no active pending orders exist. To check for closed pending orders, navigate to Operations > Sales Orders and apply a Pending status filter — that view includes closed orders by default.
Q: Orders I expect to see are missing from the Pending tab.
Closed orders are hidden by default in the grid. Add the Closed At column filter and enable Include Closed Orders to surface them. Alternatively, check Operations > Sales Orders where closed orders appear automatically.
Q: Can I select orders from different filter states in one bulk action?
No. Bulk selection applies to the currently filtered view only. Set your filters first, confirm your full cross-page selection, then perform the action.
Additional Help
If your export is still missing orders after confirming the cross-page selection, or if you encounter unexpected behavior in the grid, contact Luminous Support with:
- A screenshot of your filter state and the order count shown
