Overview
When the Close the Books pre-close checklist flags a product under Zero Valuation Inventory or Missing Landed Cost, you may want to clear the remaining stock and retire that product entirely rather than continuing to track it as an active SKU. The Write off & mark non-inventory action lets you do both in one confirmed step.
This action is irreversible. It posts a permanent inventory adjustment and changes the product type. Review the confirmation dialog carefully before confirming.
When the action is available
The action appears on rows that meet all of the following:
- The product type is Product (Kit and Fee types are not eligible).
- The product is not already non-inventory.
- The product appears in the Zero Valuation Inventory or Missing Landed Cost check in Step 1 of the Close the Books wizard.
The action button is visible on every eligible row. Eligibility details — and any reasons the action cannot run — are shown inside the dialog after you click.
What the action does
- Posts a disposal adjustment dated in the current open period, reducing on-hand quantity to zero across every warehouse and bin (including lot-tracked bins).
- Converts the product type to Non-Inventory, so it no longer appears in inventory reports or pre-close checks.
Both steps run atomically. If anything fails — including a state change between when you opened the dialog and when you confirmed — nothing is written and the dialog shows the reason.
How to use it
- Open the Close the Books wizard and go to Step 1 — Pre-Close Checklist.
- Expand the Zero Valuation Inventory or Missing Landed Cost check.
- Find the product row you want to retire. Click Write off & mark non-inventory.
- The dialog loads:
- Per-warehouse on-hand quantities at the time of the preview.
- The dollar value of open cost layers (the amount that will be posted to P&L).
- Any blocking conditions that prevent the action from running.
- If the product is eligible, the confirm button shows the write-off dollar amount (e.g. Write off $1,234.56 & mark non-inventory). If the product carries no costed layers the button reads Write off (no cost impact) & mark non-inventory.
- Click the confirm button. The action posts the adjustment and retires the product.
- The checklist reloads. The product no longer appears in the failing check.
Blocking conditions
If the action cannot run, the dialog explains why. Common reasons:
| Condition | What to do |
|---|---|
| Open purchase orders exist | Close or cancel the open POs for this product first. The dialog names up to five PO numbers. |
| Open sales order lines exist | Cancel or fulfil the open order lines. The dialog names up to five order numbers. |
| Stock and bin totals disagree | Run a recount for the affected warehouse first, then retry. |
| Product has no base unit of measure | Add a base unit of measure to the product before the disposal adjustment can be posted. |
| Product is already non-inventory | No action needed — the product is already retired. |
Lot-tracked products
The action handles lot-tracked inventory automatically. Each lot's bin quantity is included in the disposal adjustment individually, so no lot is left behind.
Frequently asked questions
Can I undo a write-off? No. The disposal adjustment and the type change are permanent. If you need to reverse them, contact your Luminous administrator — it requires manual correction.
Does the write-off change the product's historical sales or shipment records? No. It only posts a new inventory adjustment for the remaining on-hand quantity and changes the product type going forward.
What if the dialog shows a dollar value I didn't expect? The amount is the current value of open cost layers (remaining quantity × cost per unit). If it looks wrong, close the dialog, review the product's cost layers, and retry.
The action is not appearing on a row I expect it on. Why? The action only appears on Product-type rows. Kit and Fee SKUs are not eligible. If you believe the product qualifies and the button is still missing, contact support.
