Use this when a channel setting or other mistake has created many invoices you need to remove.

Void or delete: which one applies?

ActionApplies toNotes
VoidActive or Completed invoicesIf the invoice has a price override, the override must be approved first. The invoice must also have valid payment terms.
DeleteDraft or Estimate invoices with no linked sales orderApplied credit-memo payments are reversed first. If a payment that can't be reversed has been applied, the invoice is not deleted and you must reverse that payment yourself.

Invoices that don't qualify are skipped, not failed. The rest of your selection still runs. An invoice that is already void, or can't be found, is also skipped.

In the Invoices list

  1. Open the Invoices list and tick the invoices you want to change.
  2. Choose Bulk Void (n) or Bulk Delete (n) from the bulk actions menu. You need the invoice update permission and full read/write/execute access.
  3. Select at most 500 invoices at a time. Above that, the bulk action is disabled.
  4. Read the confirmation. It tells you how many of your selection will be skipped. It cannot be undone.
  5. For a bulk void, optionally tick Also delete the sales orders Luminous created from these invoices. If you leave it unticked, linked sales orders are kept and detached from the invoice.
  6. Confirm. The action runs in the background, and you can follow it under Jobs. When it finishes you are shown the outcome.

Voided invoices are voided in QuickBooks or Xero on the next accounting sync, the same as a single void.

Through the External API

These endpoints need the same permission as updating an invoice, and they only find original invoices.

  • POST /invoices/{id}/void voids one invoice. It accepts an option to also delete the sales order.
  • DELETE /invoices/{id} deletes one Draft or Estimate invoice.
  • POST /invoices/bulk-void-delete takes an action of void or delete, an ids list of up to 50 invoice ids, and an optional delete_sales_order flag. It runs immediately and returns a summary plus a result (voided, deleted, skipped or failed) and a reason for every id.

Tips

  • If you have thousands of invoices to clear, do them in batches of 500 in the UI.
  • To remove an invoice that has a sales order, void it instead of deleting it.
  • For why a single invoice can't be deleted, see the existing article "Why can't I delete my invoice, and what should I do instead?"
