Uploading a document without an order or document type

You do not need to know which purchase order a document belongs to, or what type of document it is, before uploading it through the Supplier Portal. A file is the only required field.

Step-by-step

  1. Open your portal link (from the email your buyer sent you).
  2. Navigate to the Documents section of the portal.
  3. Click Upload a document and choose your file. Accepted formats are PDF, PNG, and JPEG.
  4. Optionally, if you already know which order the document is for, you can select it — this speeds up the matching step. If you know the document type, you can select that too. Neither is required.
  5. Click Send. You will see a confirmation that Luminous is reading your document.

What happens next

Luminous reads the document automatically. This usually takes up to a minute. You can leave the page and come back — the result will be waiting for you.

Once the reading is complete, you will see a review screen showing:

  • The document type Luminous identified (e.g. packing slip, commercial invoice)
  • The purchase order it matched to
  • Line items and quantities extracted from the document
  • Tracking number and ship date, if found

Anything the system was uncertain about will be highlighted. You can correct any field before confirming.

Confirming the document

When everything looks right, click Confirm.

  • If the document is a packing slip and line quantities are filled in, Luminous records a shipment against the matched order automatically — the same as if you had filled out the shipment form by hand.
  • For any other document type, the file is attached to the matched order for your buyer to review.

If Luminous could not read the document

If the reading fails (for example, because the scan is too dark or the document format is unusual), you will see a message explaining what to do next. You can still confirm the document manually by selecting the order and document type yourself on the review screen.

Limits

  • Files must be PDF, PNG or JPEG, and 5 MB or smaller.
  • Each supplier can have up to 100 documents read automatically in any 24-hour period.
  • Sending the same file twice returns the first result rather than starting a second read.
