Per-line Expected Ship Date & Expected Arrival Date on Purchase Orders

Luminous lets you record an Expected Ship Date and an Expected Arrival Date on each individual line item of a supplier purchase order, independently of the dates set on the PO header.

Why use per-line dates?

A single PO may contain products with very different lead times — some items ship immediately while others are manufactured to order or sourced from a secondary location. Per-line dates let you track each product's timeline precisely without splitting the PO.

Where to find the columns

  1. Navigate to Purchase Orders and open the Line Items tab (the cross-PO line items grid).
  2. Locate the Expected Ship Date and Expected Arrival Date columns. Both are visible in the default grid layout.

Note: The ETA column is related but different. It shows the effective expected arrival for each line: the per-line Expected Arrival Date when one is set, or the PO header's Arrival Due Date when no line-level override exists.

Setting a date on a line

  1. Click the Expected Ship Date or Expected Arrival Date cell on the line you want to update.
  2. A date picker appears. Select the date and confirm.
  3. The cell saves immediately. The ETA column updates to reflect your change if you edited the Expected Arrival Date.

Clearing a date (reverting to the PO header)

  1. Click the cell for the date you want to remove.
  2. Clear the date in the picker and confirm.
  3. The column returns to blank, and the ETA column falls back to the PO header's Arrival Due Date.

Filtering by per-line dates

You can filter the line items grid by any of the three date columns:

ColumnWhat it filters on
Expected Ship DateThe raw per-line override only (lines without an override are treated as blank)
Expected Arrival DateThe raw per-line override only
ETAEach line's effective arrival date — override if set, header date if not

Use the ETA filter when you want to see all lines due to arrive in a date window regardless of whether the date comes from the line or the header. Use Expected Arrival Date when you want to isolate only lines that have an explicit per-line override.

To apply a date-range filter:

  1. Click the filter icon on the column header.
  2. Set From and To dates.
  3. The grid narrows to lines whose effective date falls within the range.

Sorting by per-line dates

Click any column header to sort ascending or descending:

  • ETA sorts by the effective arrival date (per-line override, falling back to the header).
  • Expected Ship Date and Expected Arrival Date sort on the raw per-line value; lines with no override sort to the top or bottom (as nulls).

Behaviour when editing other line fields

Updating a line's quantity, unit cost, lot, or any other field does not affect the Expected Ship Date or Expected Arrival Date — each field is saved independently. You can safely update quantities during receiving without worrying about losing date overrides.

External API

Both dates are returned on every purchase order line item via the External V1 API as expected_ship_date and expected_arrival_date (ISO date strings, null when not set). You can use them alongside the existing quantity_shipped, quantity_received, and remaining_to_ship figures to build per-line receiving forecasts in your own systems.
