Luminous provides several targeted tools for resolving two related but distinct problems: SKUs whose inventory cost layers show $0 cost per unit (zero valuation), and SKUs whose on-hand quantity has gone negative or drifted out of sync. The right tool depends on which problem you are seeing.

Understanding the two problems

ProblemWhat you seeWhere to fix it
Zero valuationA SKU's cost layers have $0 cost per unit, so shipments show $0 COGS and inventory valuation is understatedTransaction COGS report
Negative / drifted quantityOn-hand quantity is negative or does not match what is physically in the warehouseStock Discrepancies page

Fixing zero valuation

All of the tools below are on the Transaction COGS report. Navigate to Insights → Accounting → Drill Down → Transaction COGS in the left-hand menu.

1. Find affected SKUs — the Missed COGS tab

  1. On the Transaction COGS page, click the Missed COGS tab in the side menu.
  2. This filters the grid to show only shipped line items where the cost per unit was recorded as $0.
  3. Use the date-range controls at the top to focus on the period you care about.

2. Fix $0 inventory cost layers — "Fix Missing Inventory Costs"

This is the fastest fix when the problem is in the current inventory (stock that is still on hand but priced at $0).

  1. On the Transaction COGS page, open the Actions menu (or look for the Fix Missing Inventory Costs button).
  2. Click Fix Missing Inventory Costs.
  3. Read the confirmation message and click Continue.
  4. Luminous queues a background job. A job-tracking window opens automatically so you can monitor progress.

How it works: The system finds every inventory cost bucket that still has remaining stock but a $0 cost per unit. For each one it looks for another non-zero cost layer for the same product and uses that cost. If no other layer exists, it falls back to the product's base price. Layers that cannot be matched either way are skipped.

After this job completes you will likely want to re-apply the corrected costs to past shipped lines — use Re-apply Costs to Past Shipments (step 3 below) to do that.

3. Push corrected costs to past shipment lines — "Re-apply Costs to Past Shipments"

After the inventory layers are fixed, past COGS records for already-shipped orders still show $0. This step corrects them.

  1. On the Transaction COGS page, open the Actions menu and click Re-apply Costs to Past Shipments.
  2. In the dialog:
    • Leave Process only items with zero/null cost checked to target only the $0 entries (recommended).
    • Optionally set a From date and To date to limit the correction to a specific period.
  3. Click Start Job. A background job is queued and the job-tracking window opens.

4. Rebuild cost layers for specific SKUs — "Rebuild Inventory Cost Layers"

Use this when a particular SKU's entire cost-layer history is corrupted or misaligned — for example after a bulk import or a data migration.

  1. On the Transaction COGS page, open the Actions menu and click Rebuild Inventory Cost Layers.
  2. In the dialog, optionally enter one or more SKU codes (comma-separated) to limit the rebuild to those SKUs. Leave the field empty to rebuild all SKUs (use with caution on large catalogs).
  3. Type confirm in the confirmation field and click Start Job.
  4. A background job is queued. Monitor it in the job-tracking window.

5. Edit cost per unit inline

For small, targeted corrections you can edit individual COGS line items directly in the All tab of the Transaction COGS report:

  1. Go to the All tab.
  2. Click into the Cost Per Unit cell of the row you want to correct and type the new value.
  3. Use Bulk Actions → Set Selected to Value to apply one cost to multiple selected rows at once.
  4. Click Save Changes when done (or enable the Autosave toggle to save each edit immediately).

6. Review all cost layers — Cost Layers page

For a detailed view of every cost layer across your inventory, go to Inventory → Inventory Admin → Cost Layers in the left-hand menu. You can filter, sort, and export the full list to identify which SKUs still have $0 layers remaining.

Fixing negative or drifted inventory quantities

1. Check and post corrections — Stock Discrepancies page

  1. Navigate to Insights → Accounting → Resolve Inventory Discrepancies.
  2. The dashboard at the top summarizes total loss count, surplus count, and estimated value impact, broken down by warehouse.
  3. The table below lists every SKU/warehouse combination where the quantity recorded in the cost system does not match the actual on-hand quantity. A negative on-hand typically shows as a surplus discrepancy.
  4. Select one or more rows using the checkboxes.
  5. Click one of the posting buttons (a fourth, Post as Shipment COGS, is also available for Core COGS gaps):
    • Post as Inventory Loss — use when stock physically left the warehouse unrecorded.
    • Post as Inventory Surplus — use when stock was received but never recorded.
    • Post as Data Correction — use when the discrepancy is a system data error rather than a physical event.
  6. Confirm the action. Luminous creates an adjustment entry and refreshes the table.
  7. Use Export CSV to download the full discrepancy list for offline review.

Tip: Use the warehouse filter at the top of the page to focus on one location at a time.

2. Let the automatic recalculation self-heal pending quantities

If you are seeing negative numbers only in pending (not on-hand), these are usually transient. Luminous runs an automatic pending-quantity recalculation job every minute in production. In most cases, waiting a few minutes resolves the discrepancy without any manual action.

3. Reset an entire warehouse to zero (last resort)

If a warehouse's quantities are so badly out of sync that a fresh start is needed:

  1. Go to Inventory → Stocks.
  2. Click Reset Baseline to Zero.
  3. Select the warehouse you want to reset.
  4. Confirm the action.

⚠️ This resets all on-hand quantities for the selected warehouse to zero. Only do this if you have a clear plan — for example, you are about to import a full physical count. This action cannot be undone automatically.

  1. Open Insights → Accounting → Drill Down → Transaction COGS → Missed COGS and note how many $0 lines exist.
  2. Click Fix Missing Inventory Costs to repair current inventory layers.
  3. After that job finishes, click Re-apply Costs to Past Shipments (only zero costs, date range = the affected month) to back-fill COGS on past shipments.
  4. Open Insights → Accounting → Resolve Inventory Discrepancies, review, and post any remaining quantity variances as the appropriate type.
  5. Return to the Missed COGS tab to confirm $0 lines are gone.
