Luminous lets you turn a posted sales order into one or more fulfillment orders either automatically or manually. Once the fulfillment order exists, you confirm it by pushing it to a fulfillment channel.
Prerequisites
Before you begin, make sure:
- The sales order is posted (not still in Purgatory).
- There is remaining quantity to fulfill — items that have already been fully fulfilled or cancelled will not generate a new fulfillment order.
- At least one Fulfillment Priority List is configured in your system settings so Luminous knows which warehouse(s) to assign.
Option 1 — Let Luminous auto-generate the fulfillment order
Luminous runs a background job every day that automatically creates fulfillment orders for any posted sales order from the past two days that does not yet have one. If your channel and Smart Fulfillment settings are set up correctly, no manual step is required.
To trigger auto-generation immediately from the Sales Orders list:
- Go to Sales Orders.
- Select one or more posted sales orders using the checkboxes.
- Click the Bulk Actions button.
- Choose Auto Generate Fulfillment Orders.
- Review the dialog (orders that already have fulfillment orders are shown separately as excluded) and confirm.
Luminous applies your Smart Fulfillment settings — including warehouse consolidation, line-item splitting, and stock thresholds — to determine how many fulfillment orders to create and which warehouse to assign each one to.
Option 2 — Create a fulfillment order manually from the sales order detail
- Open the sales order by clicking its order number.
- Scroll to the Fulfillment Orders tab.
- Click the Actions button (top-right of the tab).
- Choose Create Fulfillment Order to open the fulfillment form, where you can review and set warehouse/channel details before saving.
- Alternatively, choose Auto Generate Fulfillment Orders to let the system apply your Smart Fulfillment rules automatically for just this order.
Note: If every item on the order is already fulfilled or cancelled, the "Create Fulfillment Order" option will show a message and will not open the form.
What controls how fulfillment orders are split?
| Setting | Where to configure | Effect |
|---|---|---|
| Consolidate orders | Operations → Operations Admin → Smart Fulfillment Settings | Tries to ship the entire order from one warehouse first |
| Allow line-item splitting | Operations → Operations Admin → Smart Fulfillment Settings | Distributes individual item quantities across warehouses when one can't cover all |
| Always create | Operations → Operations Admin → Smart Fulfillment Settings (or per channel) | Creates a fulfillment order even when stock is short |
| Split by estimated ship date | Channel settings | Items with different estimated ship dates get separate fulfillment orders |
| Fulfill separately | Per product | Products flagged this way always get their own fulfillment order |
Confirming (pushing) a fulfillment order to a fulfillment channel
Creating the fulfillment order in Luminous is step one. To send it to your warehouse management system (WMS) or other fulfillment channel, you need to push it.
Push a single fulfillment order
- Open the sales order and go to the Fulfillment Orders tab.
- Click the fulfillment order row to open its detail view.
- Use the action button and choose Push to Fulfillment Channel.
- A confirmation dialog shows the fulfillment channel, warehouse group, and store. Review the details and click Confirm.
Push multiple fulfillment orders at once
- On the Fulfillment Orders tab of the sales order, tick the checkboxes for the fulfillment orders you want to push.
- Click Actions → Push to Fulfillment Channel (N).
- Confirm in the dialog.
A success message appears for each order pushed. If any orders fail, an error message lists the reason per fulfillment order ID.
Auto-push (hands-free confirmation)
If your fulfillment channel is configured with an Auto Push after X minutes delay, Luminous will automatically push fulfillment orders to the channel after the configured delay without any manual step. This is set up per channel in the channel's integration mapping settings.
Troubleshooting
| Symptom | Common cause |
|---|---|
| No fulfillment orders generated | Sales order is not posted, all items are already fulfilled/cancelled, or no fulfillment priority list is configured |
| "Cannot create fulfillment order with no remaining quantity" | All items are fully fulfilled or cancelled |
| Fulfillment order created but push fails | Channel integration may not be fully configured, or the fulfillment order status was set to Error — check the error message |
| Push button disabled or not available | Fulfillment order has already been pushed (it must be unpushed first to edit or re-push) |
