When you create or edit a Purchase Order in Luminous, you can designate a warehouse as the destination address. This tells Luminous exactly which warehouse will receive the incoming inventory — a required step before the system can push an Advance Shipment Notification (ASN / inbound shipment) to your connected 3PL warehouse management system.
Prerequisites
Before setting up the ship-to warehouse on a PO, the target warehouse must already belong to a Warehouse Group that is marked as Externally Managed and connected to your 3PL integration (e.g., TrackStar). If that admin configuration is not yet in place, see How to Push Shipments as Inbound Shipments to 3PL Warehouses in Luminous first.
Steps: Set the Ship-To Location to a Warehouse
- Go to Inventory → Purchase Orders. Click Create Purchase Order, or open an existing PO's ⋮ menu and choose Edit Order.
- Find Default Ship to Address. It has three options:
- Manually add Ship to Address: type a free-form address.
- Warehouse: link the PO to one of your Luminous warehouses.
- Supplier Address: use the supplier's address.
- Choose Warehouse. A required Select a Warehouse dropdown appears next to it.
- Pick the warehouse that will physically receive the shipment. The address fields below (Street Address 1/2, City, State, Zip, Country) fill in automatically from that warehouse.
- Click Next to finish creating the PO, or save your edits.
What Happens Next
Once the PO's ship-to is a warehouse in an externally managed warehouse group, Luminous can:
- Automatically push an inbound shipment (ASN) to the 3PL when the PO reaches the trigger status set on the warehouse group (if auto-push is on).
- Let you push it manually at any time from the PO's ⋮ menu → Push as Inbound Shipment.
- Show whether the push worked in the Sync Status column on the Purchase Orders list. Turn it on from Columns if it's hidden.
Setting the Ship-To Warehouse on a PO Shipment
If you work at the PO Shipment level (rather than the PO itself), the same logic applies — a warehouse must be linked to the shipment for the ASN push to route correctly. The shipment form also includes a warehouse picker that drives which 3PL destination receives the notification.
