Building a shipment from multiple PO line items

The PO Line Item View (the cross-PO grid under Purchase Orders → Line Items) lets you select multiple lines — across different POs if needed — and build an inbound shipment for all of them in one action.

Prerequisites

  • Your account must have permission to create inbound shipments.
  • The bulk-selection and build-shipment features must be enabled for your account (contact your Luminous admin if you do not see checkboxes).

Step 1 — Open the Line Item View

Navigate to Purchase Orders and click the Line Items tab (the cross-PO grid, not the individual PO detail).

Step 2 — Filter to the lines you want to receive

Use the column filters (SKU, Supplier, Warehouse, Line Status, ETA, etc.) to narrow the grid to the lines for your incoming delivery. The Line Status filter is useful here — set it to Awaiting Shipment or Partially Shipped to surface lines still pending receipt.

Step 3 — Select the lines

Tick the checkbox on each line you want to include. The checkboxes only appear on lines that have quantity still remaining to ship — fully shipped lines cannot be selected.

Paging through a large list? Your selection is preserved when you move to the next page. The bar above the grid always shows the current count: "N lines selected across M POs".

To select all lines on the current page at once, tick the header checkbox.

Step 4 — Build the shipment

Option A — New shipment Click Build shipment in the selection bar. The shipment form opens pre-filled with every selected line. Review and adjust quantities if needed, then save.

Option B — Add to an existing shipment Click Add to existing shipment. A picker appears, filtered to shipments that share a supplier with your selection. Choose the target shipment and the form opens with your lines appended to its existing items.

Step 5 — Save the shipment

Confirm the warehouse, quantities, and any other required fields in the shipment form, then click Save. The grid refreshes automatically and the selection is cleared.

Assigning lot numbers at the same time

If any selected lines are lot-tracked, a (N) Bulk Create Lot button appears alongside the shipment actions. Click it to create lot numbers for those lines in the same workflow — each new lot is saved immediately to its line(s), so you do not need a separate Bulk Update step.

Tips

  • The Remaining to ship column (Ordered minus already-shipped quantity) is visible for all users and helps you confirm how much stock is still outstanding before selecting lines.
  • Cancelling out of the shipment form or the shipment picker leaves your selection intact so you can try again without re-ticking everything.
  • The selection is cross-page but not cross-session — refreshing the browser clears it.
