What is a fulfillment order?

A fulfillment order (FO) is Luminous's mechanism for routing items from a posted sales order to a warehouse or fulfillment channel (such as a WMS like TrackStar). A single sales order can produce one or more FOs — for example, items from different warehouses, or items with different estimated ship dates, are split into separate FOs automatically.

FOs live under Operations → Fulfillment Orders in the left navigation. Each FO has a status that reflects where it is in the shipping lifecycle:

StatusMeaning
PendingCreated but not yet pushed to the fulfillment channel
Awaiting ShipmentPushed and waiting for the warehouse to ship
Partially ShippedSome (not all) items in the FO have shipped
ShippedAll items have shipped
Action RequiredThere is an issue that needs manual attention before proceeding
On HoldFO is paused
PlannedScheduled for future fulfillment
CancelledFO has been cancelled
ErrorAn automated push attempt failed

How are fulfillment orders created?

Luminous automatically generates FOs for posted sales orders that do not yet have one. The system runs a daily background job that processes recent posted orders and assigns items to warehouses based on your configured fulfillment priority lists and Smart Fulfillment settings.

You can also trigger auto-generation immediately from within a sales order:

  1. Open the sales order (Operations → Sales Orders → select the order).
  2. Open the Fulfillment Orders tab.
  3. Click Actions → Auto Generate Fulfillment Orders.
  4. Confirm the prompt. The system creates the FO(s) and refreshes the panel.

The auto-generator respects your Smart Fulfillment settings (consolidation, line-item splitting, always-create) and will notify configured email addresses if there are stock shortages.

Option 2 — Create manually

If you need to create an FO for a specific set of items:

  1. Open the sales order.
  2. In the Fulfillment Orders panel, click Actions → Create Fulfillment Order.
  3. The Fulfill Orders dialog opens. Fill in the warehouse, channel, and item quantities.
  4. Save. The new FO appears in the panel.

Note: The system will not let you create an FO if there is no remaining unfulfilled quantity on the order (e.g., all items are already fulfilled or shipped).

Pushing a fulfillment order to a fulfillment channel ("Confirm" / Push)

Pushing sends the FO to the assigned warehouse or WMS. The push step is what many users refer to as "confirming" a fulfillment order.

Push one or several FOs

  1. Go to Operations → Fulfillment Orders.
  2. Check the box(es) next to the FO(s) you want to push.
  3. Click Actions → Push to Fulfillment Channel (N).
  4. A batch dialog opens showing each eligible FO with its Target Fulfillment Channel, Warehouse Group, and Store. FOs that are already pushed (and not in Action Required status) are flagged as ineligible and skipped automatically.
  5. Click Push to confirm. The dialog processes each FO individually and shows success or failure per row.
  6. The grid refreshes with updated statuses.

Tip: FOs in Action Required status can be re-pushed even if they were previously pushed.

Auto-push (channel-level setting)

If your fulfillment channel is configured with an Auto Push after X minutes delay, Luminous automatically pushes eligible new FOs every minute once the configured wait time has passed. This requires a support-team configuration change on your channel integration mapping. FOs that fail an auto-push are marked Error and excluded from further automatic attempts until their status is manually reset.

Bulk-pushing fulfillment orders

The Push to Fulfillment Channel action described above is already a bulk operation — you can select as many FOs as needed before clicking it. The batch dialog processes them one at a time and reports any failures inline, so you can see exactly which FOs succeeded and which did not without losing visibility.

Unpushing (removing) a fulfillment order from its WMS

If you need to pull an FO back from the warehouse channel:

  1. Select the FO(s) in the Fulfillment Orders grid.
  2. Click Actions → Unpush from WMS (N).
  3. A confirmation dialog shows the affected FOs (only already-pushed FOs are eligible — unpushed FOs are blocked with a warning message).
  4. Click Yes to proceed. Successfully unpushed FOs are reported; any failures are shown with their error messages.

Deleting / removing a fulfillment order from a sales order

Deleting an FO breaks the link between it and the parent sales order, returning the quantity to "unfulfilled" so a new FO can be created.

  1. In the Fulfillment Orders grid, switch the left-hand filter to Cancelled.
  2. Check the FO(s) you want to remove.
  3. Click Actions → Bulk Delete Fulfillment Orders (N) and confirm.

Alternatively, from within a sales order's Fulfillment Orders panel you can delete individual FOs using their row-level delete action (if the FO has not yet been pushed).

Important: A pushed FO must be unpushed first before it can be edited or deleted. If the FO has already been shipped, deletion is generally not possible.

Removing a single line item from a fulfillment order

If you only need to remove one product line from an FO (rather than deleting the whole FO):

  1. Open the FO for editing (row action Edit in the Fulfillment Orders panel on the sales order, only available for unpushed FOs).
  2. Remove the specific line item from within the edit dialog.
  3. Save.

Additional bulk actions available on the Fulfillment Orders page

Once you select FOs in the grid, the Actions menu also offers:

  • Bulk Re-Create Fulfillment Orders — deletes the selected FOs and immediately re-runs auto-generation for their parent sales orders.
  • Update Status (N) — manually set the status across multiple FOs.
  • Update Ship By Date (N) — update the ship-by-date field in bulk.
  • Mark as Shipped (N) — marks eligible FOs as shipped (skips already-shipped or cancelled FOs).
  • Create Invoices (N) — bulk-creates invoices from the selected FOs.
  • Create Picklists (N) — generates picklists grouped by individual FO or by warehouse group.
  • Export Packing Slips (N) — downloads packing slips as a PDF.
